About the work

Problems solved. Systems that work.

Fifteen years · Independent practice

Organizations reach a point when the technology they have no longer matches the way the business actually operates. Systems were set up by people who have since left. Tools were implemented but never fully adopted. Vendors delivered a product and moved on, leaving no one who understands how the pieces connect. The gap between what technology could do and what it actually does starts costing real time and real money.

MW Solutions works at that gap. Many of these problems don’t fit a single category. It isn’t clearly a website issue, an IT issue, or a software issue, and the organization isn’t sure who to call or which vendor, if any, is responsible. Every project begins with a clear diagnosis of what is actually broken, before any product is recommended. From there, the work is full cycle: choosing the right platform, migration, configuration, staff training, and documentation, with one person accountable from start to finish.

Approach

From root cause to handoff.

The same three stages apply to a website, a platform migration, or a problem no one has been able to explain.

Diagnosis

The first step is an accurate understanding of what is not functioning, independent of vendor claims and surface symptoms. The problem is identified before any new software is chosen, and sometimes the answer is fixing what is already in place. A clear diagnosis is what keeps the rest of the work efficient.

Implementation

Platform selection, migration, and configuration, managed as one piece of work. No gaps between vendors who each own a fragment. Years of projects across websites, databases, and business software means common problems are anticipated before they slow the work down, and every part is set up to connect with the rest.

Adoption

A new system only pays off when staff use it with confidence. Training and written documentation are built around how the team actually works, so everyday questions don’t require a call to outside support. The organization ends up owning its systems and the knowledge of how they run.

In practice

What the work looks like

Patterns that appear across years of projects, and how each one gets resolved.

Ownership Restored, Every Account Documented.

The accounts were set up by a person who has moved on. Credentials are scattered, renewals process on their own, and no one is certain what runs where. Nothing has failed yet, but the gaps are showing. Teams pay for tools they already have and open new accounts when they can’t get into old ones. The work is a single point of ownership. Every account, domain registration, hosting plan, and software subscription is recovered, mapped, and documented. Prevention is what keeps a small gap from turning into an emergency..

Software Adopted, Built Around the Team.

The software was a good fit on paper. In practice, it didn’t match how the team works. Within weeks, staff went back to their old spreadsheets or used the new tool just enough to check a box. The license still renews every year. The work starts by learning how the team operates now, then fitting the tool to it, whether it’s a CRM, a donor management system, or a project management platform. Training is hands-on, using the team’s own data, and the documentation stays when people leave.

Records Consolidated, One Version Everyone Uses

Over the years, each new volunteer or staff member started their own spreadsheet. Now there are five, and most are stored on personal laptops. A donor address gets updated in one copy and missed in the rest. Reports are rebuilt by hand, and the numbers rarely agree the first time. The fix is a single system where every record is entered and edited, whether that’s a CRM, a database, or a student information system, set up around how the organization tracks its work. Mailing lists and reports come straight from it, current every time.

Website Rebuilt, Fully Owned

The website worked when it was built. Now updates are slow or expensive, the original design is outdated and the platform can’t add new features, like online booking or payments. Moving it feels risky, so the site stays as it is. The answer is a redesign the organization owns outright, from the domain to the content. It’s built on WordPress, so hosting can be switched at any time, and new features can be added as the organization grows. Regular security updates and SEO keep it working for many years.

Hidden Issues Diagnosed, Systems Monitored.

A few clients mention they never got and email. Someone checks the email settings, everything looks right, and the issue gets set aside. In a small organization, there’s often no dedicated IT to monitor and diagnose. Other problems build up the same way, like backups that stopped running or a security certificate close to expiring. Finding the cause usually takes the right tools and experience. That means a review of the systems that fail quietly, including backups, security updates, and the email settings that keep messages out of spam, followed by monitoring so the next problem is caught early.

Website Tracking Tested, Data Flow Verified

A demand letter arrives about the site’s tracking, or parents and clients ask how their personal information is used and protected. The privacy policy is often a generic template that doesn’t match what the site actually does. Automated scanners give a quick answer that may not hold up under review. A manual test gives the full picture. It shows what the site’s tracking tools, cookies, and consent banner actually do, including whether the site honors a visitor’s browser setting that asks not to be tracked. The findings are documented so counsel or the web developer can bring the privacy policy in line with the site.
